10 Steps to an Effective Project Kick-off

A kick-off meeting is a crucial start to any project, no matter what the scope, timescales or budget involved. This ten step guide outlines what you can do as Project Manager to ensure your kick-off meeting is as worthwhile and effective as possible.
1. Be preparedr
Circulate a project summary to all of your team well in advance of your meeting, concisely outlining the brief and the key milestones. This will give all team members the opportunity to digest the basic project overview beforehand.
2. Plan your approachr
Think carefully about the best way to brief your team. Decide whether to use a structured, visual presentation or give a relaxed verbal summary to best convey the information; make sure you give it sufficient thought and plan well in advance.
3. Timebox the meetingr
Ensure that the meeting is concise, and you have a clear agenda to work from. Don’t deviate from the agenda – this meeting needs to hold people’s attention and set the tone for the project as a whole. By timeboxing the meeting, you can make sure it is focused and productive.
4. Be clear and conciser
Define the project as clearly as you can, including a summary of the end user, business objectives, and any other key considerations. If team members understand the why as well as the how, they will be able to provide creative and constructive input throughout.
5. Define rolesr
Ensure that everyone is aware not only of their own role within the project, but the roles of other also. Clearly defined roles avoid confusion, and makes expectations known.
6. Set the toner
The kick-off meeting sets the tone for the entire project, so make sure you are clear about how the project will be run, including the methods and frameworks to be used. This is your chance to empower your team members as well as define your role as project manager.
7. Allow time for questionsr
Ensure that comments and questions are allowed for in the agenda, as a specific item. Make it clear to the team that you welcome questions, but only during the allotted time – this ensures that the rest of the meeting is not disrupted.
8. Define the next stepsr
Be clear about what everyone will be doing straight after the meeting, so they can get started right away. Define them in specific terms; you don’t want any team members feeling confused and sitting idle from the word go.
9. Provide a summaryr
Send out a brief summary following the meeting, noting down any key points as discussed. Keep it concise, aiming for it to act as a useful point of reference for your team throughout the project lifecycle.
10. Take a personal approachr
If any concerns or queries were raised during the meeting, take the time to follow up with individual team members on a one-to-one basis to show your support as a leader.
