The type of document software you will need depends heavily on how many documents you are storing at any given time. The more documents you are storing, the more advanced the system will need to be. The better the system, the faster the retrieval time on documents will be. Of course, if you are only storing a few files at any given time, it will be wasteful to use a system which is set up to store thousands of files. Remember that some kinds of software are scalable while others will need to be completely replaced. Since you plan on getting bigger, get scalable software. Do You Need Remote Access? If you have employees who will be doing a lot of work outside the office, it is important that they have access to company files while away from the office. Those in certain service industries might want to consider how it feels to be on location and not have the documents you need to have. It is a major security risk to have the documents stored in your laptop. Instead, it makes more sense to have the documents centrally located where they can be accessed remotely through the server. There are certain systems which are designed with this in mind. What Security Levels Will You Require? Since security is the name of the game, it is a good idea to take a closer look at the security levels you will need. While you will have administrators such as yourself who will access to everything on the server, it is important that someone further down the food chain does not have access to all of the information. Information can be restricted through the use of encryptions and passwords. By restricting access even in an office of three, the other employees will know that all personal information is being kept safe at all times. Your clients will know it too.
