For all of us, life is much easier when we are organized and our things are kept in order. This not only make sit easy to access the papers or books, but also saves us time which would otherwise be spent searching for the same. It is difficult enough to keep the books and papers around the house in their place, imagine in a big office. There is bound to be millions of files, papers, documents and other material that needs to be arranged and stored away for later use. These must be stored in a room or cabinet neatly catalogued so they can do a fast file search and find what they are looking for instantly. These days with the advent of computers, we have cut down on usage of paper and all work is done and stored in different files on the computer. Most of the computers are inter-connected such that people can work on any machine and be able to access the information or data from another system. For the same purpose, it is important to have a good file management system in place which will sort the files and store them away in different folders.
The folders should each be given suitable titles so one can identify the contents of the same, and the files stored within them need to be relevant to the name. Also it is important to create a system which will enable fast file search instead of having to go through all the folders available. This would be very time consuming and could result in loss of business which in turn would reflect in revenue earned. Most of the operating systems come with their own version of the system but it can also be customized to better usage. There should also be a provision to back up all the data and store them away in case of emergency. Also called as a file system, the system should be compatible with any kind of operating system and be user friendly. The file system typically uses a storage device, the hard disk or a CD ROM in most cases, to create the directories.
Files need to be saved along with their file types - .jpg, .exl, .doc, .mp3, etc for the user to be able to find the file they need or do a search based on the file type. Should also support indexing and advanced search options in case there are sub folders within a folder. For easy and fast file searches, the names given to the various files should be with reference to the contents of the same else the system is useless. The security settings need to be enabled appropriately so people with access to certain files can only view them or make changes in them. One should learn and make use of the different file systems available – Database, Flash files, Disk files and so on to be able to make full utilization of the system to its maximum efficiency levels.
