Managing an Office Network Ainât Easy
Written by Peter Wendt
Almost every company today requires computers and networks to run, no matter what type of business it is. Most payroll, tax filing and bank transactions are done online now, and employees need to be able to access customer accounts and share files, and being able to do these things requires computers and a network. While using technology can greatly improve the efficiency of a company, maintaining office networks is usually challenging at best.
To begin with, managing networks also usually entails keeping computers on the network running smoothly. This requires ensuring that computers are virus and spyware free, have operating system updates run on a regular basis and that data and files are backed up. Computers that become infected with malicious software can easily infect other computers, causing catastrophic results. Therefore, security software needs to be installed and run on a regular basis. While these scans and updates can be automated, someone still needs to go over reports and logs to ensure that any problems found during a scan were taken care of.
Additionally, most computers that are on office networks have a variety of tools and software that employees need to do their jobs. Many of these software suites require updates to fix past issues and to ensure that programs have the most features currently available. This is especially important for computers that have financial and tax software on them because old versions of software may not comply with current government payroll and tax regulations.
In addition to ensuring that operating systems and software are up to date, office networks need to be constantly maintained to ensure the speed of connections and that employees only have access to files that they need to work. For example, receptionists do not need to have access to employee or financial records, so network admins need to be sure that each employee's network credentials match the access level of their job.
Further, even with anti-virus and related software on network computers, office networks are still vulnerable to attacks from hackers. These attacks can be to gain access to files on a network or to simply keep the network from working. Therefore, firewalls need to be set up properly to close any network security holes. Additionally, network admins need to do constant scans to ensure that attacks are not taking place and stop them if they are.
Networks and related technology have allowed businesses to grow and focus on what they do, rather than paperwork. Still, keeping technology in an office running smoothly is not an easy job, and it requires an extensive list of tasks be done to maintain computers, networks and network access.
