Uses of Asset Tags in Schools
Written by Michael Astor
Asset tags and barcode labels are widely used to keep a track of the school’s valuable assets. Tracking equipment means that when any particular part of equipment is required by staff members or children, it can be sited in a minute’s time. A reliable list of equipment in case of theft or any emergency can be of much use to track down equipment. It can be presented to the insurance companies also. These can be a proof of the damaged equipment or assets.
Tracking down of equipment can be a challenging task in schools. Almost all equipment is used by the school employees or students on a daily basis. It would become difficult for a coordinator to manage, coordinate and track down all of these assets without technological help. The same is applied to all the instruments in the school including IT equipment such as computers, scanners, printers and other musical instruments.
Asset tags can be useful in keeping a track of the equipment and related assets. This engages the job of allocating a label with a particular number to each item. Bar code labels are used to simplify the procedure and reduce the time required in making the list of records.
Use of asset tags in schools:
• Asset tags are required for the new equipment that comes from the warehouse to the school building. Asset tags will have to carry the service tag information along with service expiration date attached to it. Fixed asset agent information should also be attached to the tags.
• The hardware received at the school from the vendors has asset tags affixed to them. This will help to store the information on the tag.
A big challenge for the schools on how to divide between the staff that uses and moves the equipment, and those who are given responsibilities of keeping the charge sheet of location, quantity and maintenance status. Incorporating an asset tag saves time while making the inventory list and divides the responsibility.
The key benefits of using asset tags in schools:
• Electronic asset tracking.
• Portable data collection with build in scanner to enable equipment to be scanned.
• Easy installation and use.
• Ability to organize auditing at regular intervals.
• Asset tags and barcodes are designed to last the lifetime of the asset.
• Automatically records and organizes and can sort in various ways to give visibility.
• Schools should employ asset tags and labels to maintain a record of valuable school equipment.
