No one wants to deal with unhappy, unruly customers. But when you are frontline staff, providing good customer services, you have to deal with customer with the utmost tact and empathy.

Customers are valuable to every business. And so they are a definite priority to customer service staff.
At companies that provide inbound call centre services or call centre outsourcing services, you get a huge volume of calls day in and day out. Customer service agents attend multiple calls back to back. Each caller will be of a different profile and hence, challenging for the agent.

Excellent customer service agents have the right skills and attitude to tackle this trying job. But even they find it difficult when there’s an irate customer on the line. This is because angry customers are not easy to deal with. They’d be shouting, threatening to get your manager on the line, showering verbal abuse and so on.
To keep calm in the face of such an emotional outpour is challenging. But with the right approach, empathy and a listening ear, you can win them over!

It is important to be resilient and tolerant. Having conflict resolution skills and an approachable personality can help you greatly. Working collaboratively with other team members and calmly arriving at a solution are key to solving the customers’ issues.

There was this one experience when a customer service agent received a call from a very enraged customer. She was understandably livid. Upon patiently delving into the matter, the agent found that this regular customer has purchased the same goods previously on multiple occasions. However, this time round, the packaging was different. The customer mistook it for a completely different product and did not open it assuming that it may not be replaced. And now, the customer was feeling disappointed that the wrong item had been delivered in spite of the fact that her previous experience with the brand was satisfactory. The agent patiently explained the situation to the customer.

What we understand from this situation, and others like this, is that customers get enraged because there are emotions attached to their decision to purchase from a certain brand. They expect excellent services to be delivered. But when it fails to match their expectations, there is a lot of disappointment, no matter what. Sometimes, the disappointment is unfounded. However, calmly explaining what went wrong and offering a solution will diffuse the situation and reinforce the customer’s faith in the brand.
