Online document management is basically useful for handling files such that the information gets created, organised, shared and stored appropriately and efficiently. For many corporations, the motive of opting for an online document management system is to get files organised and stored well.  If you search for online document management system (ODMS) on the Internet, you'll get a  long list of the systems solutions. There will, in fact, be many that would offer software advertising the merits of opting for an ODMS to go paperless.

ODMS, however, is mainly designed to enhance the usage of electronic files. But the only reason why it is not adopted by all the corporations is mainly because many establishing businesses  deal with old-fashioned documents on electronic and paper files. In many cases, the usage of paper documents is larger than electronic data.

The problem with having mixed data can be resolved by using a document imaging system that converts all the business documents into electronic form. Here, the drawback of it lies in incurring higher expenses which are costly for smaller businesses.

But, the good news in this is that even if you don’t purchase any special software, you can apply the basic features of an ODMS to your business. The procedure isn’t very complex but you’ll still need to invest time and plan for implementing it in the correct format.

The basic features of an ODMS includes:

Creation of an online document management system plan
Implementation of the plan

While we discuss the Creation stage, we’ll have to answer few questions during the process.

1. What Rules Cater To Creation Of Documents?

Payments, Invoices, sales brochures, reminder letters, balance sheets, emails, spreadsheets, reports – every different business undergo usage of different documents and keeping a track of company’s business. And to organize files systematically, all businesses must establish rules regarding how to create documents. For instance, if there are any templates for your standard business files, like invoices and letters, where are they located?

2. Should New Files Be Updated?

What procedure can be followed to share and review the documents? For some small corporations, an online document management system would only matter for locating the files and knowing how to edit, share and view them. But if your document creation involves collaborating with other workers within the business, updating or reviewing documents, then you’ll have to think about how the planning  can  be done for better consistency.

3. How Will The Documents Be Stored?

There are two aspects to the question. The first pertains to the physical documents for storage. Even if a small organization is storing files in filing cabinets, the cost factor comes in between regarding storage; viz., not only the cost incurred on filing cabins themselves, but also the cost of entire time when you and your employees store files or retrieve them. The biggest cost incurred in these small businesses is only the time spent on looking for files. And the biggest hassle mainly arises when you fail to locate the document. Then here comes the need to have a standard storage system.

Another aspect of storing files is organizational; how will the records be filed? The key to filing data is by following good online file management practices. You must know how to archive documents. The main call that you as a user will have to take is about deciding what files are important and need to be stored for accessing daily and whether what files are such that have gone become outdated and can be stored such that they remain maintained and undeleted. The best way to manage files is by naming them and placing in appropriate folders. The same is done with paper documents. It’s not difficult to move old documents from a folder by creating a new folder titled “old”.

Although, some ODMS have the feature of automatically archiving options. For instance, Microsoft Outlook enables to archive old emails.

The Second Feature Of Implementing  The ODMS

Once the document management system gets created, you’ll be ready to implement it, but before you do so, make sure all your staff members and colleagues are aware of the system and its features, the business details and how the documents have to be placed as different organisations follow different protocols and adopt different ODMS. If the workers don’t follow the same procedure for storing and managing data, then it would be a big trouble for the organisation. The best way to ensure proper usage is by spot checking the files on a regular basis in order to test how the files are placed and filed.

You can adopt one ODMS, use it efficiently and get your tasks easy but if your ODMS is not implemented consistently then you might not even make the basic use of it.

The rewards of using an online document management system are huge. Finding, creating and implementing one successfully will surely add a good file management in your business.
